By using our Website  www.aldgatevet.co.uk and by using our services, you understand and agree that personal information you provide will be held on our practice management systems, databases operated by us and/or other selected third parties.

Types of information we collect

At Aldgate Veterinary Practice we understand how important your privacy is and will only process data lawfully and meets with one of the following conditions: Contract, Legal Obligation, Consent, Legitimate interests

  • Providing Services and products to you

To register with the practice basic details will be taken such as, Title, name, address, phone number, email address, name of others authorised to make decisions for your pet, preferred vet practice and information about your use or interaction with the Services.

These details may also be taken at other points of contact with the practice, ie queries or competitions.

  • Registration for our Pet Health Plan through third party provider (Vetsure)

Our Pet Health Plan is run through a third-party provider (Vetsure) when signing up to our Pet Health Plan the following details will be shared with Vetsure ltd : Title, name, email address, phone number, address, preferred vet practice, payment card details and direct debit preferences.

  • Obtain payment for the provision of our Services

Payment for our services are expected at the time of treatment either by Cash or Card see our Payment Terms and Conditions  Terms and Conditions of Service – Aldgate Veterinary Practice  Financial and billing Information such as your name, address, email address, Telephone number bank and card details may be taken in accordance with this.

In the event of non-payment we reserve the right to refer any outstanding debt to our debt collection agency.

  • Provide you with website functionality

The usage data may include your IP address, geographical location, browser type and version, operating system, referral source, length of visit, page views and website navigation paths, as well as information about the timing, frequency and pattern of your service use. The source of the usage data is our analytics tracking system. This data may be processed for the purpose of analysing the use of the website and services. The legal basis for this processing is our legitimate interests, namely monitoring and improving our website and services.

  • Provide you with service messages and reminders by phone, SMS or email.

Name, phone number, email address and information about the Services you have requested. These are not marketing messages and relate to Health check, vaccination and other information relating to the health or your pet. Occasionally we rely on trusted third parties to conduct this service on our behalf. We do not require consent for this.

  • Register microchip details and identify pet owners from information associated with pet’s microchip number (reuniting lost pets)

Name, address, email address, phone number and regional location. On registration this will be obtained by you in person. In the case of lost pets your information will be obtained from the microchip database for us to make reunite owner and pet

  • Improving our Services to you

To continue to improve our Services to you we may process data about your use of our services, including use of website, products and services provided to you.

We record all incoming and outgoing calls and any online chat, emails or surveys to analyze data about the use of our services, assist in complaints, queries and staff training.

The presence of CCTV cameras in our public areas help us maintain  the safety and security of our users, our clients, our staff, the animals in our care, our property and premises, our Services and business.

CCTV recordings may be used to prevent or detect crime, or act in the public interest including for animal welfare purposes that may be requested by such authorities (ie Police, RSPCA)

From time to time we like to communicate with you to provide information about our products, services, offers and other marketing campaigns that will be relevant to you and your pet(s). Your data will be shared with our trusted third party marketing company for these purposes. You can opt out of  Marketing communications in Person or via the phone at any of our practices.

We often use photos of our patients and visitors on our website and social media and will ask your consent to use any photos of your pet during their visit to us or any events.

Sharing and disclosing your personal information

Aldgate Veterinary Practice will not share or disclose any of your personal data without your consent, other than for the purposes stated in this policy and/or  where there is a legal requirement. We may use third parties to provide the below services and business functions; however, all processors acting on our behalf process your data only in accordance with instructions from us and comply fully with this privacy policy, the data protection laws and any other appropriate confidentiality measures. We do not transfer or store any of your personal data outside of the EU.

Your details are only passed on to third parties:

  • To send routine reminders and marketing information about relevant goods and/or services where we feel this is beneficial to you as a client. Such information will be non-intrusive and is processed on the grounds of legitimate interests.
  • Where necessary, to debt collection agencies, solicitors or other professional advisors insofar as reasonably necessary for the purposes of obtaining or maintaining insurance coverage, managing risks, obtaining professional advice, or the establishment, exercise or defence of legal claims, whether in court proceedings or in an administrative or out-of-court procedure.; or
  • Where necessary to other veterinary organisations, for example in a referral situation, transfer of records to another practice and specialist veterinary services such as laboratories and crematoriums.
  • Other third parties, where any part of our business is outsourced, sold, merged, or subject to bankruptcy or other business transaction or re-organisation and where permitted by law, the new provider will become the controller of your personal data; and
  • Other third parties as instructed by you, with your consent or as necessary to exercise or defend our legal claims.

We may use some or all of the above  to comply with any applicable legal obligations, to enforce any applicable terms and conditions and/ or terms of service, and to protect or defend the Services, our rights, the rights of our users, or others (for example we may process your personal data in relation to mediation services in relation to complaint resolution, animal welfare or regulatory investigations). If we sell or acquire assets, business units or companies, we process personal data to prepare and execute transactions (e.g. information about clients or their contact persons or employees), and we may disclose such information to potential buyers or sellers. We conduct such processing in our legitimate interests to operate a successful and efficient business.

We retain personal data for as long as necessary to fulfil the purposes for which it was collected, including any legal, accounting, or reporting requirements. For example, client records are typically kept for 7 years after the last interaction.

We do not normally collect or use ‘special category’ (or sensitive) personal data, such as health, ethnicity, sexuality data, except where it is provided to us voluntarily in the context of a client query or complaint, in which case we process such data in accordance with your consent or as necessary to exercise or defend our legal claims.

If you do not provide us with certain personal data (such as your name, address, financial information, or any other information that is essential for us to provide the Services), we may not be able to provide our Services to you.
